Step 1

Create a color code system and the time off categories you need. Document them at the top of the template.

Add all your teammates to the employee list, inserting as many new rows as required. Note that newly added rows will not contain the COUNTA formula, so you need to add it to the corresponding cells in the “Total leave time” column manually.

Mark your colleagues’ leave time on the calendar with the correct letters and colors from your color code system.

Step 4

Review your team’s vacation calendar regularly, check the time off totals, and watch how often each person takes days off. This helps you see whether someone should be encouraged to take a break soon or, on the contrary, asked to postpone their plans a little longer.
